Potterheads, are you ready to create your very own Hogwarts Acceptance letter?
Imagine feeling the thick envelope, breaking that deep red wax seal pressed with the Hogwarts School Crest, and seeing your own name accepted to a Hogwarts lesson in potions (baking cookies) or inviting you to a special party where you will watch the Harry Potter trio on their adventures during a slumber party.
Hello fellow Harry Potter fans, I am Miss Motivational Pinup and I absolutely love everything Wizarding World. I created some Hogwarts Acceptance Letters for two of my kiddos as part of the reveal for our surprise trip to Universal Orlando.
If you would like to see a vlog of the creation process, check this out. I was really excited and shared a lot of details in the planning process of this trip so feel free to skip to 4:10 in that video.
I had so much fun making these letters that I thought it would be a cool thing to incorporate in other ways such as birthdays, slumber parties, afternoons spent baking, or even a family picnic. These letters can easily be customized to fit almost any kind of event.
Hogwarts Acceptance Letter Ideas
Before I share the “how to’s”, consider this with me. You and your family love fall and have made a tradition of starting a Harry Potter movie marathon in September. This year you want to do something a little special. You decide that one or two Saturdays a month you want to spend a little time in the afternoons making some fun Harry Potter snacks like Wizarding World Park’s Butterbeer Cookies to enjoy for dessert with your movie.
Hmmm, wouldn’t it be fun to kick off your movie marathon with these letters saying they’ve been invited to join you in the kitchen for lessons in baking before attending this week’s Harry Potter film? Be sure to describe where it is, really get into the details of where the kitchen is located and add include your address.
Or maybe it is with a family member or friend and you include their details. Their packing list can include the recipe items and a shopping list. Next, you venture off to the store together picking out all the fun things you will use to make your cookies. This could be such a blast and a great way to come together for some memory-making.
Below I have included the items you will want to purchase. I snagged everything on Amazon. I’m sure you could find similar items at your local crafting store if you wish. The templates I have shared via Canva! Don’t forget your Harry Potter-themed ambiance to stream while you create these!
Materials List & Directions
Here is where your creativity comes to life with the Hogwarts Acceptance Letter! You will need to print these items so make sure you’re all connected to a printer. This is an easy template for you to simply fill in what you wish. The third page of the template will print an outline of the envelope. Since all standard address sizes are not the same you may need to fill this portion in, print it, then adjust and re-print this page until you reach your desired look.

Now for more fun ideas! If you are going to bake with them inform them that they have a new potions class. Perhaps you want to have the family together for a card game? Invite them to a class with Professor Trelawney who will teach them all about cards. The standard ink color on this template is emerald green, true to the film, as the letter was originally written by Professor McGonagall.
Feel free to change this to better suit your particular activity. The point is to have fun and make these feel written for the recipient! What makes them unique? What makes this year’s Harry Potter marathon so special? Where is their bedroom for that slumber party? Put in all those personalized details in this template. I used “free” elements I found online and some of Canva’s built-in art to really bring everything together. As long as we are not selling these we can use them for all the Wizarding World fun!
I snagged this paper to print the letters and then used the same paper to make the envelopes myself. Super easy. The third page of the template is an outline of the envelope.
It can be a little difficult to cut some of these corners. If you wish to purchase an aged-looking envelope instead, here is an option. I like the more authentic curved back but do what works best for you! After printing out your envelopes you can cut them out, taking care of the edges, then fold them along the lines. I used a standard glue stick to bring the edges together.
Leaving the last fold of the main flap, allow your glued envelopes to set for an hour before you add the documents. Now you’re ready to fold your letters and seal this with the Hogwarts School Crest.
#3 Wax Elements, Tea Lights, and Stamp Kit
The last materials for the Hogwarts Acceptance Letter are the wax elements, tea lights, and stamp kit.
This wax melting set is nice, because it includes a rest for the mini-melting wand while it melts the wax. Don’t forget some tea light candles. You could even get creative with your wax colors by using Hogwarts House colors or even marbling the wax for a two-toned effect.
We chose to purchase a collection of stamps. This one has it all; Hogwarts Houses crests, the Hogwarts School crest, and an “Owl Post” stamp! This stamp was so cute that I could not help adding it to our version of the letters. This is the whole point, make it yours!
Please note! Before using your stamp, be sure to spray it with cooking spray and repeat this prior to additional stamping otherwise residual wax may be left behind, become difficult to remove, and therefore diminish the details of the stamps.
When pulling out the wax pellets, I recommend starting with six. Make sure you pour slowly onto your envelope holding the flap in place until the stamp is set. Your dollop of wax should be about the size of a quarter. You will want to hold the stamp steady for about 15 seconds or so after pouring.
I highly recommend you do some test pours prior to stamping those envelopes you worked so hard to cut out. This also helps you see how all of the stamps will appear on your paper and might even change your mind on which combinations work best for you!
If you know your recipient’s Hogwarts House then you could use the house crest stamp on the letter in addition to what you place on the envelope seal. Perhaps you switch out McGonagall’s signature and you use the head of Ravenclaw and stamp that house crest?
Have Fun With Your Hogwarts Acceptance Letter!
This does not have to be for a trip! You could create these to fit so many events. With some imagination, you could have an epic invite to a kiddo’s birthday or slumber party. The packing list could include their sleeping bag and pillow along with their favorite Harry Potter themed snack.
If you’re like me, you might be excited to see this as an invite to your favorite restaurant or perhaps a picnic lunch for a day trip. Maybe that packing list includes blankets and treats to share. Don’t be afraid to really tailor it to your chosen experience. Life is about loving the moments we share and creating as many memories as much as we can. Now go make some with the Potterhead in your life!
